RESTAURANT REGISTRATION

 

Destination Vancouver is excited to launch registration for the 22nd annual Dine Out Vancouver Festival for Winter 2024 running from January 17 – February 4, 2024.

Dine Out Vancouver Festival 2023 attracted over 463,000 seated diners generating in excess of $27 million in revenue to restaurants over the 17-day run. 

Destination Vancouver will be investing in marketing and promotion of the festival with a digital and traditional media campaign which generates media reach to an audience in excess of 84.5 million.

Registration is NOW OPEN.  The deadline to register is Friday, October 20, 2023.

Below are important key dates:  

  • Registration Deadline: Friday, October 20, 2023
  • Menu / Offer Upload Deadline: Friday, December 8, 2023
  • Restaurant Reveal and Reservations Live: Tuesday, January 9, 2024
  • Dine Out Vancouver Festival: January 17 – February 04, 2024

Criteria for Participation:

Participation is open to restaurants in Metro Vancouver regardless of affiliation with Destination Vancouver. The registration fee is applicable to all restaurant locations.

Registration Fee: $300 plus GST

PARTICIPATION RULES AND REGULATIONS

REGISTRATION DETAILS & FEES

The registration period deadline is Friday, October 20, 2023.

The registration fee is $300 + GST per participating restaurant location.  Registration fees are payable online and are due at time of registration.  Registration Fees are NOT REFUNDABLE.

Restaurants are required to select one or more options for menus.  Options are as follows:

  1. Restaurants may choose to offer a three-or-more-course menu (Breakfast/Brunch, Lunch, Dinner) in one of THREE PRICE RANGES.  Actual meals are fixed prices within the range selected. Ranges for 2023 are as follows:  $20-$35, $35-$50, $50-$65

AND/OR,

  1. Restaurants MAY offer a Dine Out TO GO package that follows the same set of ranges

NB: Set menus noted in #1 above must be a minimum of three courses per person.  The individual menu price is PER PERSON, exclusive of gratuity, tax, and beverages.

Culinary Events & Experiences

Another way for restaurants and event producers to align with the festival is through our Culinary Events & Experience program where they curate culinary experiences that give their guests a deeper exposure and familiarity with Vancouver’s culinary environment. Examples of these include chef tasting menus that take the guest on a culinary adventure, themed long table dinners with featured sommeliers or craft brewers/distillers, cooking classes, foraging tours, neighbourhood food tours, the Vancouver World Chef Exchange (by invitation from Destination Vancouver only) and more.  These “events” are outside of the three price ranges noted above.   These can be one-off events, or held daily, but will be featured separately on the www.dineoutvancouver.com/events landing page.  Planning, organizing, and ticketing are the full responsibility of the restaurant or event producer.  Revenue is retained by the restaurant in full. The registration fee still applies.

If you are interested in participating in this part of the festival, please make sure you indicate so on your registration form.  A separate producer registration will be sent to you.

RESERVATIONS

Our Preferred Reservations Partner is OpenTable. While OpenTable reservations links are the preferred option, other reservations platforms will be permitted.  OpenTable will provide us with a unique reservations link that allows for aggregate volume tracking.  Any reservation fees charged by OpenTable will be the same as those that Opentable charges for reservations through the restaurant’s own website.

If a restaurant uses another reservations system other than OpenTable, the restaurant must provide us with their reservations link so it can be added to their listing. Restaurants with non-Opentable reservation links must complete a post-event survey sharing total reservations generated during the festival.

GIFT CARDS ARE REQUIRED

Restaurants MUST submit a gift card to their respective restaurant per the value schedule below, to be used for media contesting, marketing, and ‘surprise & delight’ opportunities.

The gift certificate must not have an expiry date. The amount of the gift certificate will correspond to the menu price range in which you have registered. Please ensure you indicate the value of the card with your submission.

The amounts are as follows:

  • $20-$35 price range restaurants to provide a $50 gift card
  • $35-$50 price range restaurants to provide a $75 gift card
  • $50-$65 price range restaurants to provide a $100 gift card
  • To Go package and restaurants must follow the same guidelines. 

All gift cards are due at registration.  Gift Cards must NOT have an expiry date. The earlier you submit your gift certificate, the greater the opportunity for prime exposure.

I would like to coordinate a special dinner event (ex: Winery/Som Dinner) that will be promoted during the DOV Festival and included in the event and experiences schedule. NB: These are up to the restaurant to organize. Destination Vancouver will promote the event on the DOVF website but will not handle any ticketing.



TERMS & CONDITIONS OF PARTICIPATION

By registering your restaurant to participate in the 2024 Dine OutTM Vancouver Festival, you agree to the following terms and conditions of participation:

  1. You agree to adhere to all Provincial Health Order Regulations that are in force at the time of the festival. Restaurants who do not follow health guidelines and city regulations will be disqualified from participation.
  2. You agree to pay a $300 plus GST non refundable registration fee to participate.  This fee is applicable to each location participating and to teams engaging via culinary experiences.
  3. You agree to an official general reservation launch date of Tuesday, January 9, 2024. The list of participating restaurants will be released to media and/or the public by, and at the discretion, of Destination Vancouver, and may be released in advance by Destination Vancouver only.
  4. You agree to not promote your participation in advance of release by Destination Vancouver or January 9, 2024, whichever is later, except in official Destination Vancouver sanctioned publications and as authorized by Destination Vancouver.
  5. You agree to not offer your Dine Out Vancouver or similar prix-fixe menu for the period beginning January 1, 2024 until the official start of Dine Out Vancouver on January 17, 2024. Chef Tasting Menus offered as part of regular service hours are exempt. You may not offer a Dine Out menu in advance of official Dine Out dates. Dine Out branded menus may be extended by one week past the festival end date at your discretion.
  6. You agree to submit your multi-course dinner menu (minimum 3 courses) via Destination Vancouver’s Extranet, including any beverage pairings recommendations, no later than Friday, December 8, 2023. Menus that are submitted after this date are not guaranteed to be posted live on dineoutvancouver.com for the January 9, 2024 launch date.
  7. You acknowledge and agree that Destination Vancouver reserves the right, at their sole discretion, to determine the restaurants participating in the Dine Out Vancouver Festival. Destination Vancouver further makes no representations or warranties with respect to your restaurant’s sales volumes or customer traffic that may result during the promotional period.
  8. You acknowledge that Destination Vancouver owns all trademarks with respect to the terms ‘Dine Out’ and ‘Dine Out Vancouver’.  You further acknowledge that the Vancouver World Chef Exchange is part of the family of Destination Vancouver brands.
  9. In consideration of your participation in the Dine Out Vancouver Festival and its sponsors, you agree not to participate in any other similar promotion during the promotional period defined as December 1, 2023 to February 4, 2024.
  10. Once the registration process is complete, you agree to honour your commitment to participate in Dine Out Vancouver Festival 2024.  Should you elect to not participate for any reason, registration fees will not be refunded.
  11. You agree to brief your staff on the event to ensure high quality, knowledgeable service for consumers.
  12. You agree to display all Dine Out Vancouver posters, decals, collateral print material, and any other DOVF materials provided to you by Destination Vancouver regardless of any corporate branding conflicts, for the duration of the festival.
  13. You agree that Destination Vancouver can name your restaurant as a Dine Out Vancouver Festival participant and include your logo or name in any promotional materials. You further agree that Destination Vancouver can provide restaurant contact details to any program sponsor or partner at its discretion.
  14. You agree to submit a gift card for your restaurant to Destination Vancouver as outlined in the registration details. You further agree that Destination Vancouver reserves the right to use the gift card for promotional purposes it deems appropriate.
  15. You agree to promptly resolve any significant customer complaints brought to your attention by Destination Vancouver.
  16. You agree to complete a post event survey as administered by Destination Vancouver which will include sharing aggregate reservations details to be used in the calculation of the festival’s economic impact.  You further acknowledge that failure to submit data may impact future opportunities to participate.
